Personal Information Protection Basic Policy
As one of the leading institutions for general and continuing education in Japan, ECC strives to make our value to society ever greater. In this capacity, ECC group (hereinafter “ECC”) shall observe all relevant laws and regulations regarding the protection of personal information and shall comply with the personal information protection guidelines of all related ministries. ECC’s policies regarding the acquisition, use of, and provision of personal information by ECC are stipulated below. Furthermore, this basic policy applies to the processing of personal information concerning data subjects in the European Economic Area (“EEA”) in accordance with the Regulation (EU) 2016/679 (General Data Protection Regulation, hereinafter ”GDPR” ).

【General Terms and Conditions】

  1. ECC shall acquire personal information of customers solely through the use of legitimate and fair measures.
  2. ECC shall either publicly announce or notify customers of the purpose of use of acquired personal information. Said personal information shall be used solely within the bounds of what is necessary for achieving the purpose of use.
  3. ECC shall not provide acquired personal information to third parties without prior consent from customers. In the case that personal information is provided to a third party, customer consent shall be obtained either when the personal information is acquired or before providing said information to the third party.
  4. Personal information acquired by ECC shall be kept safe and managed as per company policy. Any and all necessary technical and organizational preventative measures against unauthorized access and leakage risks shall be taken. Personal information found to be unnecessary shall be discarded and/or deleted in an appropriate way.
  5. ECC shall appoint personnel to be in charge of and responsible for the management of personal information and the maintenance and development of a management system for personal information within the company.
  6. In the case that an incident regarding personal information arises, ECC shall promptly notify the customer and other related parties, and take all necessary measures to minimize any damage that occurs as a result of the incident.
  7. In the case that a customer requests the disclosure, correction, or deletion of their personal information, ECC shall take all reasonable steps to comply with the request, unless such compliance is precluded by laws and regulations.
  8. ECC shall continually review and improve company policies regarding personal information; taking into account relevant legal amendments, societal changes, and changes in the business environment.
  9. ECC shall educate company executives and employees who handle personal information regarding the roles and responsibilities in relation to the observation of laws, regulations, and company rules regarding personal information, and measures to take when said laws, regulations, and rules are violated.

【Cross-Border Transfer】

Personal information may be transferred to entities in countries or jurisdictions outside the EEA, such as Japan, if required for the purposes described above. Please note that such countries or jurisdictions may not have the same data protection laws as the EEA and may not afford many of the rights conferred upon data subjects in the EEA. ECC will ensure that any such international transfers are made using appropriate and safeguards as required by the GDPR or other relevant laws. When making such a transfer, ECC will comply with applicable data protection requirements and take appropriate safeguards to ensure the security and integrity of personal information.

【Retention of Personal Information】

ECC will retain personal information for the period required to fulfill the purposes outlined in this Basic Policy, unless a longer retention period is required or permitted by law.

Handling of Personal Information on the ECC group website

■Collection of Information
・Customers using the ECC group website (herein after “ECC website”), may be asked to submit their personal information to process their request for information. The personal information requested will be limited to that which is necessary for providing ECC group service (hereinafter “ECC service”).
・The ECC website automatically collects and stores various information from our customers, such as the customer’s Internet protocol (IP) address, cookie data, and internet history.
■Cookies
What are Cookies?
Cookies are mechanisms that enable websites to store information on a person’s computer when they visit a website. Stored information includes browsing activity and typed information sent between one’s browser and the server. When the user visits the website again, cookie data enable the website owners to provide each individual user with a customized display. If a user’s browser settings allow it, websites may acquire cookies from a user’s browser. For security reasons the browser only shares cookies that have been sent or received with the website that sent or received them.

Types of Cookies Used on the ECC Website
Category 1: Statistics cookies. These cookies help us to understand how visitors interact with our website by collecting and reporting information anonymously. We use this category of cookie on the ECC website.
Category 2: Marketing cookies. These cookies allow us to track visitors across the website. The intention is to display ads that are relevant and engaging for the individual user and thereby more valuable for publishers and third-party advertisers. How ECC Uses Cookies
ECC uses cookies for the following purposes:
・To provide personalized service by referring to stored customer information when signing in to authenticated services
・To show the most relevant ads on other websites based on the customer’s interests and search activities
・To analyze the number of users and the traffic related to the ECC website
・To improve the quality of ECC services
・To advise customers to reenter their password (for reauthorization) after a certain amount of time has passed from the start of use (for security reasons)
ECC may store and reference cookies from the ECC website through ECC’s advertising partners.

We reserve the right to amend this Cookie Policy from time to time. Any changes will be posted on this page and shall become effective as soon as they are posted.

■IP Address
When a customer’s browser requests information from the ECC website, the website automatically receives its IP address. Since the browser automatically sends the IP address to the website, every time a customer uses the website their IP address is collected. The IP address of every customer’s PC is stored in the ECC website when the customer accesses a service.
How ECC Uses IP Addresses
・To help solve technical problems reported by customers associated with IP addresses managed by corporations or ISP (Internet Service Providers)
・To provide accurate information based on location and other relevant information obtained from a customer’s IP address.

■SSL
・When asking customers for personal information, ECC encrypts communication using SSL.

Purpose of Use of Personal Information

ECC shall use personal information for the following purposes:

① Personal information of customers:
・To help with the operation of schools and classes, educational activities, teaching, and student management
・To inform and contact customers, respond to inquiries, and store customer records
・To request for and settle payments
・To send studying materials and requested information
・To send information about products and services, distribute mail magazines, provide job and class-opening related information, and to distribute surveys regarding service improvement
・To send prizes to customers applying for campaigns and prizes
・To notify and contact customers applying for events, contests, and auditions
・To aid in educational research, project development, grading analysis, measurement of study effectiveness, customer analysis, and the development of non-personal statistical information
※ In the case where corporations or other legal entities, government or municipal offices (as an employer), or any other kind of educational institution becomes a contracting party for the purposes of providing training or courses for employees/staff or students, the personal information of those attending said training or courses may be provided to the aforementioned contracting parties to the extent of what is necessary for the operation of said training and courses.

② Personal information of our workers (teachers, employees, and others.)
・To aid in the payment of salaries, tax related procedures (withholding tax and others), and social insurance and labor insurance related procedures
・To aid with performance evaluations, reassignment (including secondments and relocations), proficiency development, welfare benefits, health and safety and other labor management issues
・To aid with procedures following retirement, resignation, or other withdrawal from the workforce” to cover more bases.
・To register and report to government and public offices

③ Personal information of job and class-opening applicants and business partners
・To aid with the screening of applicants, the determination of hiring conditions, responding to inquiries, and contacting applicants regarding employment
・To aid with the management of employees after hiring
・To respond to inquiries and contact regarding class-openings, procedures for concluding contracts, and management affairs after the opening of classes
・To contact applicants and business partners about business contracts, fee payments, and other related affairs
・To notify applicants and business partners about products and services information, to distribute mail magazines, and to provide information regarding employment and class-openings

④ Individual Number (My Number) and Specified Personal Information
・ For Employees (spouse and family dependents included)
To aid with tax related procedures, such as withholding tax, social insurance, and labor insurance related procedures, and employee shareholders association affairs
・ For Unemployed Individuals
To aid with payment, compensation, rewards, dividends, rent fees for use of facilities, and procedures for developing records of payment of compensation for real estate

Entrusting of Personal Information to Outsourcers

Acquired personal information may be entrusting to outsourcing agents. ECC shall ensure that the outsourcers meet ECC standards and appropriate safety management is conducted.

Provision of Personal Information to a Third Party

Acquired personal information shall not be disclosed or provided to a third party except in the cases specified below.

・When customer consent is obtained
・When required by laws and regulations
・When exchanging information with financial institutions or credit and loan companies regarding payment

Procedures for Disclosure and Amendment of Personal Information

ECC stipulates the following procedures for disclosing and amending (correcting, adding, deleting, ceasing use, and ceasing provision to a third party) personal information (stored personal data).

Applications for the disclosure and correction of personal information must be made by post.

・Commission Fee
A handling fee of 300 yen (tax included) is charged for disclosure requests. Additional costs may be incurred if the disclosure requires the release of material aside from documents. Requests for correction are free of charge.
